How Routeava handles Phase 0 intake information.
Effective July 12, 2026. This policy describes the current pilot-stage process and should be updated when Routeava changes providers or data practices.
Information collected
Routeava may collect contact information, business details, service area, company size, current planning method, descriptions of operating problems, and optional route or appointment files. Technical records may include a hashed network address, browser information, submission time, verification outcome, and activity necessary to prevent abuse.
Purpose
Information is used to evaluate whether a Route Health review is feasible, communicate with the business, prepare an agreed analysis, protect the intake system, manage follow-up, and maintain business records. Routeava does not sell submitted information.
Operational files
Accepted files are stored in private object storage and are not served as public website assets. Access is limited to authorized Routeava administration. Initial intake files are assigned a 30-day deletion date. If a business enters a documented pilot, Routeava may extend retention for the duration of the work and follow-up measurement. Raw pilot files should be deleted within 90 days after the review is completed unless a written agreement, legal obligation, or approved customer instruction requires a different period.
Inquiry records
Basic inquiry and relationship records are reviewed for deletion after 12 months when no customer relationship develops. Routeava may retain limited business records longer when reasonably necessary for contracts, payments, disputes, security, or legal obligations.
Service providers
Cloudflare may process hosting, security-verification, database, and private-storage information on Routeava’s behalf. Resend may process email addresses and message content when transactional email is enabled. Routeava may add or replace providers as operations develop; this policy must be updated to reflect material changes.
Data minimization
Do not submit payment-card data, bank information, Social Security numbers, medical records, government identification, passwords, or unrelated personal information. Use anonymous customer or location identifiers instead of names when possible.
Access, correction, and deletion
To request access, correction, or deletion, email routeava@gmail.com and provide enough information to identify the request, such as the Routeava reference number and business email. Routeava may need to verify authorization before acting.
Security limitations
Routeava uses reasonable technical and operational safeguards appropriate to the pilot stage, including HTTPS, server-side validation, private file storage, restricted administration, and deletion controls. No internet system can guarantee absolute security.
